Micro AI Workplace
Micro AI Workplace is a portable AI workspace for Windows 11 that combines a local AI language model, a personal document library, and AI-powered document research. It helps users handle everyday office tasks such as writing emails, translating text, summarizing documents, and improving existing content directly on their PC.
Your work documents stay under your control. Unlike cloud-based AI services such as ChatGPT, Claude, or Microsoft Copilot, Micro AI Workplace runs its core AI functions locally. Your prompts, email drafts, contract excerpts, and document contents do not need to be uploaded to an external AI provider for processing. This is particularly valuable when working with confidential business correspondence, client information, internal reports, or sensitive legal and financial documents.
Micro AI Workplace offers a practical alternative to building and maintaining your own AI infrastructure. There is no need for a dedicated AI server, expensive accelerator hardware, infrastructure setup, or recurring fees for a large-scale AI service. The application is designed for lawyers, expert witnesses, tax advisers, and other knowledge workers who want useful AI assistance without the cost and complexity of operating their own large language models or relying on cloud-based AI for routine tasks.
The software includes a compact language model that runs locally on the CPU, without requiring a dedicated GPU or server. It is designed to work on existing Windows 11 workstations, requires no traditional installation, and targets a minimum configuration of 4 GB RAM and an entry-level CPU. Actual performance depends on the hardware, the task, and the amount of text being processed.
In addition to AI chat, Micro AI Workplace provides a local document library with document import, management, and AI-assisted search. Its retrieval function can select relevant passages from your own documents and provide them as context for an answer. Where available, source and page references help you locate and verify the underlying information.
The compact model is optimized for everyday text and document tasks rather than for matching the most advanced cloud models in every situation. It can assist with routine writing, translation, summarization, and document research, but complex tasks may require more capable models or additional human review. As with other AI systems, its responses can be incomplete or incorrect and should be checked when accuracy matters.
Micro AI Workplace at a Glance
AI Chat for Everyday Office Work
The integrated chat lets users work with a locally executed language model. It is designed for recurring tasks that involve understanding, organizing, editing, or rewriting text.
Typical use cases include:
| Task | Examples |
|---|---|
| Summarization | Condensing long passages into their key points |
| Comparison | Identifying similarities and differences between texts |
| Translation | Translating text into another language |
| Rewriting | Improving wording and making texts easier to understand |
| Email Drafts | Creating drafts from notes or existing text |
| Custom Templates | Preparing recurring tasks with saved prompt templates |
The chat also supports document attachments, conversation history, and configurable settings. Custom prompt templates can be saved and reused for recurring tasks.
Document Library and Local Research
Micro AI Workplace allows users to import supported documents into a local library. Their contents are prepared for subsequent searches and managed in a local database.
The integrated Retrieval-Augmented Generation (RAG) feature can retrieve relevant passages from indexed documents and provide them as context for a query. This makes it possible to ask questions about one's own document collection without having to search through every document manually.
Where the relevant source information is available, retrieved passages can be displayed with document and page references and reviewed in the document viewer.
The quality of the results depends, among other things, on the quality of the extracted text, the relevance of the retrieved passages, and the language model's interpretation. Document search is therefore intended to help locate and process information, not to guarantee that every relevant passage will be found.
A Look Inside Micro AI Workplace
Locally Focused Architecture
Micro AI Workplace runs AI inference on the user's own Windows workstation. Its AI chat and local document research do not require an external AI service or a dedicated server.
The portable application requires no traditional installation. It is designed for compact deployment and uses a small language model suited to CPU-based inference. A dedicated GPU is not required.
This local architecture allows users to work with the AI features within their own computing environment. Documents and chat content do not need to be sent to a cloud-based language model service for local AI inference.
Local processing does not automatically mean that every other operation on the workstation—such as license activation, updates, backups, or manual exports—works without a network connection. These operations should be distinguished from local model inference.
Model Capabilities and Technical Limitations
Micro AI Workplace uses a compact AI language model with a total context window of 4,096 tokens. This includes both the input and the generated response. Therefore, 4,096 does not mean that the model can process 4,096 input tokens and then generate another 4,096 output tokens on top of that.
The settings allow you to control how the available token budget is divided between input and output. One example configuration allocates 25% to input (1,024 tokens) and 75% to output (3,072 tokens). The input includes not only your request, but potentially also system instructions, previous conversation history, and excerpts from documents supplied as context.
What Does This Mean in Practice?
As a rough guide, 1,024 tokens correspond to approximately 500–750 words, or around one to two normally formatted A4 pages. 3,072 tokens may correspond to approximately 1,800–2,200 words, or around four to six A4 pages of generated text. These estimates depend on the language, vocabulary, formatting, and content. Technical or legal texts may differ considerably because of how they are tokenized.
With an example configuration of 1,024 input tokens and 3,072 output tokens, typical tasks might look like this:
| Task | Typical Input Size | Typical Output Size |
|---|---|---|
| Translation | A letter or shorter text, for example around 500–800 tokens | A translation of similar length, for example around 500–900 tokens |
| Summarization | A text or selected excerpts containing, for example, 500–1,000 tokens | A concise summary of around 100–300 tokens |
| Writing Emails | Notes, background information, or a short source text containing around 100–300 tokens | An email draft of around 150–400 tokens |
| Text Rewriting | A shorter paragraph or a limited text excerpt | A revised version whose length is broadly comparable to the original |
| Document Research | The question plus selected relevant excerpts from the document library | An answer with explanations and, where available, source references |
These figures are examples, not fixed limits for each task. The actual input capacity depends on how much of the context window is used by system instructions, conversation history, and other contextual information. The configured maximum output length is also a limit, not a target: a simple email or summary normally uses only a small fraction of the available output budget.
What About Longer Documents?
For direct translation or summarization, the source text must fit within the available input budget. With the example configuration of 1,024 input tokens, you should therefore not expect the model to process several dozen pages in their entirety in a single operation.
The document library provides another approach. Its retrieval function can select relevant passages from larger documents and supply them to the model as context. The language model then works with the selected passages rather than necessarily processing the entire document at once. This makes it possible to ask questions about longer documents. However, relevant passages may not be found by the search, or the model may fail to take important information sufficiently into account when generating its answer.
The compact model is designed for everyday text and document tasks on ordinary office PCs. Its ability to analyze complex relationships, cover extensive specialist subject areas, or reliably draw difficult conclusions is limited. Like other language models, it can produce inaccurate, incomplete, or misleading answers.
Source references and document links make verification easier, but they do not guarantee that an answer is correct. For important professional tasks, the underlying text passages should be checked. Micro AI Workplace supports information processing and text-related work, but it does not replace independent review of complex matters.
System Requirements
Micro AI Workplace is designed for Windows 11 and requires no traditional installation. The application is built around modest resource requirements and the use of existing workstation hardware.
