Redactwizard Pro 2.5

Redactwizard Pro 2.5 is a locally executed Windows application for the redaction, anonymization, and pseudonymization of confidential documents. PDF, Office, and text files are analyzed and processed directly on the user's own computer — without cloud processing, additional AI model downloads, or a required subscription.

Redactwizard Pro 2.5 brings together the previous Pro and Medical feature sets in a single product. Redactwizard Legal remains available as a separate product edition.

Redactwizard Pro 2.5 combines four integrated AI models, an updated local OCR workflow for printed and handwritten content, professional PDF tools, Office document processing, and manual redaction features in one application.

The software is designed for professional users who need to analyze confidential documents locally, identify sensitive information, selectively redact or pseudonymize it, and prepare documents for subsequent sharing or submission.

Doctors, medical assessors, experts, companies, public authorities, HR departments, and other professional users can process their documents directly on their own Windows PC without transmitting the original document content to a cloud service for integrated detection.

Four Local AI Models

Redactwizard Pro 2.5 includes four integrated AI models that can be used individually or in combination, depending on the document and workflow.

Model Focus
PII Primary Personally identifiable information, organizations, addresses, contact information, financial data, and other PII categories. The updated primary detector is based on a multilingual encoder.
PII Helper A complementary compact multilingual model, for structured identifiers such as IBANs, BICs, credit card data, SSNs, VINs, IMEIs, and other specialized identifiers. The compact quantized edge variant is approximately 104 MB.
Medical Medical and clinical information such as problems or diagnoses, treatments, tests, and examinations.
Legal EU Specialized legal entities such as lawyers, courts, laws, legal provisions, court decisions, regulations, contracts, companies, and organizations.

The models run locally on the Windows PC. Integrated document analysis therefore does not require the document to be transmitted to an external AI or cloud service.

A new multilingual foundation for PII detection

The updated PII Primary model is based on mmBERT-base, a multilingual encoder developed by the Center for Language and Speech Processing at Johns Hopkins University. The underlying mmBERT model was pretrained on more than 3 trillion tokens across more than 1,800 languages. This broad multilingual training provides the foundation for cross-lingual text processing, including languages with fewer digital training resources.

Redactwizard uses this foundation in a task-specific PII detection workflow. The broad language coverage of the underlying encoder should not be confused with a guarantee of identical PII detection quality in every language: actual results depend on the task-specific model, text, language, and document quality.

The complementary PII Helper model is designed to catch additional structured identifiers. Its compact, quantized edge variant is intended for local deployment and complements the contextual detection performed by the primary model.

The PII detection workflow is designed for 100+ languages. The Medical model is designed for German and English, while the Legal EU model focuses primarily on German legal terminology and entities. All four models can be used individually or in combination, depending on the document and use case.

PDF Redaction with Vector and Raster Output

Redactwizard Pro 2.5 provides two methods for creating redacted PDF documents: native vector redaction and full raster output.

Native Vector Redaction

With vector redaction, affected content is processed directly within the PDF content structure rather than simply placing visible black rectangles over it.

Redacted text content is removed from the affected PDF content. Unaffected content can remain as real, sharp, selectable, and searchable PDF text.

The resulting PDF can also be checked using the integrated verification functionality after export.

Raster Output

For complex PDF structures, problematic font encodings, or content that cannot be reliably processed as vector content, Redactwizard Pro 2.5 provides full raster output.

Each page is rendered as a raster image. The redactions then become part of the image itself. Technically, the result is a digital image-based copy of the PDF page, with the redacted areas permanently embedded in the image.

Raster output can provide an additional processing option for sensitive or technically complex documents.

Security note: Even when a PDF has been technically processed and cleaned, the final document should always be reviewed before distribution or publication.

Native vector redaction is applied only when the relevant PDF content can be processed reliably. For problematic or incorrectly interpreted content, raster output may be used instead. A final manual review of the result is recommended.

Manual Editing for Content Outside AI Detection

Not all sensitive information appears as clearly recognizable text. Redactwizard Pro 2.5 therefore provides additional manual tools for content that is not detected by the AI models or cannot be processed reliably by automated recognition.

These include:

  • Rectangles and freehand areas
  • Polygon tools
  • Blur
  • Text and stamps
  • Bates numbering

This allows users to selectively process signatures, stamps, logos, handwritten notes, and graphical elements, among other content.

PII Detection for Personally Identifiable Information

The two PII models complement each other when identifying personally identifiable information and can be used together.

The PII Primary model, based on the multilingual mmBERT-base encoder, detects categories such as people, organizations, addresses, contact information, financial data, technical identifiers, and other personal-information categories. The underlying mmBERT-base model was pretrained across more than 1,800 languages; Redactwizard's task-specific PII workflow is designed for 100+ languages.

The PII Helper model extends the analysis with specialized detection for structured identifiers such as IBANs, BICs, credit card data, SSNs, VINs, IMEIs, MAC addresses, and cryptocurrency addresses.

Detection results can vary by language, context, scan quality, and the format of the source document. Always review detected matches and add manual redactions where necessary.

Detecting Medical Content with the Medical Model

The integrated Medical model extends PII detection with medical and clinical information.

Detection Examples
Diseases & Diagnoses Disease names, diagnoses, and clinical findings
Treatments & Medications Therapies, medical procedures, and medications
Tests & Examinations Laboratory information, tests, and examinations

The Medical model supports German and English and can be used together with a PII model.

This allows a single document to be analyzed for both medical information and patient identifiers.

Detecting Legal Content with the Legal EU Model

The integrated Legal EU model extends Redactwizard Pro 2.5 with specialized recognition of legal entities and terminology.

Depending on the document, this can include:

  • Lawyers
  • Courts
  • Laws and legal provisions
  • Institutions
  • Court decisions
  • Regulations and ordinances
  • Contracts
  • Companies and organizations
  • Persons and judges
  • Cities and streets
  • Legal literature
  • Brands

The Legal EU model is primarily designed for German-language legal documents.

OCR for Printed and Handwritten Content

Redactwizard Pro 2.5 includes a local OCR workflow for scanned documents. In addition to printed text, the OCR pipeline can also recognize handwriting, depending on legibility and image quality.

The local OCR converts recognized text regions into machine-readable text so they can be processed further by the integrated AI models and redaction tools. This helps bring scanned PDFs and image-based documents into the same review workflow as digitally created files.

Recognition quality depends on handwriting style, scan resolution, contrast, page orientation, noise, and document structure. Complete or error-free recognition cannot be guaranteed. Review OCR results carefully before using them to redact confidential or personally identifiable information.

Structurally Process Office Documents

Redactwizard Pro 2.5 supports:

DOCX · ODF · XLSX · PPTX

Office documents can be structurally read, analyzed, and edited.

AI Assist can help identify relevant passages. Terms can also be selected manually and added directly to the blacklist or whitelist through the context menu.

The processing takes into account elements such as paragraphs, tables, and formatting. An integrated preview allows users to visually review processed documents.

Note: Modern Office files can contain complex XML structures, embedded objects, revision information, or other components that are not immediately visible. Automatically processed Office documents should therefore always be reviewed before distribution.

Notice Regarding Office Document Redaction

Redaction of DOCX, ODF, XLSX, and PPTX files is intended for simply structured, standards-compliant documents. For complex, deeply nested, or unusual document structures, automated processing cannot guarantee complete and error-free redaction for every possible combination of content, formatting, and document elements.

The underlying Office and OpenDocument standards are extremely extensive and comprise thousands of pages of specifications. Redactwizard therefore does not attempt to support every theoretical document structure or every specialized format defined by these standards.

DOCX, ODF, XLSX, and PPTX documents must always be reviewed after automated redaction for completeness, correctness, and proper presentation. This is particularly important for complex documents containing nested structures, embedded objects, special formatting, revision information, linked content, or other advanced document elements.

Redactwizard provides a powerful tool for processing suitable Office documents in practical workflows. However, it cannot guarantee that every arbitrary or technically unusual document structure will be processed completely and without errors.

Batch Processing for Larger Document Collections

Redactwizard Pro 2.5 can automatically process multiple documents or complete directories.

Batch processing supports background processing of larger document collections and can include OCR for scanned documents, AI detection, redaction, and processing logs.

This makes Redactwizard Pro 2.5 suitable for larger case files and recurring document-processing workflows.

Local Pseudonymization for External AI Services

Redactwizard Pro 2.5 can locally pseudonymize document content before it is transmitted to external large language models.

Detected personal information can be replaced with consistent placeholders, for example:

[PERSON_1]

This allows the underlying document content to be prepared for analysis, summarization, drafting, or other AI-assisted tasks without transmitting the original names or other identifying information unchanged to the external service.

Depending on the configuration, external services such as ChatGPT, Claude, or Gemini may be used.

Important: AI Chat is an optional feature that uses external services. Once processed or pseudonymized content is sent to an external provider, that provider's privacy, security, and contractual terms also apply. Pseudonymization performed by Redactwizard remains local.

Four Independent Workspaces

Redactwizard Pro 2.5 provides four separate virtual workspaces for different document collections and matters.

Multiple documents can be opened and organized using tabs, allowing different projects, cases, or document collections to be handled separately and in parallel.

Archive, Trash, and Access Protection

Processed document versions can be managed locally using the integrated archive.

Deleted archive objects can initially be restored through the trash. An optional 4-digit PIN protection is also available for local access.

Designed for Professional Workflows

Redactwizard Pro 2.5 is designed for professional environments in which confidential documents need to be processed and selectively prepared before they are shared.

Its local architecture is particularly useful in situations where documents should not be transmitted to external cloud services for automated analysis.

Depending on the use case, different legal and organizational requirements may apply, including GDPR in the European Union or HIPAA and CCPA/CPRA in the United States.

Redactwizard Pro 2.5 provides technical functions such as local processing, OCR, pseudonymization, and document redaction to support such confidential-document workflows.

Important: Redactwizard is a technical tool and does not automatically ensure an organization's legal or regulatory compliance. Actual compliance depends on the specific use case, internal processes, services used, and applicable laws and regulations.
